Getting Started
Account Access
- Check your email for Microsoft 365 welcome message
- Go to office.com
- Sign in with your company email
- Complete setup wizard
Sign In
- Visit office.com or portal.office.com
- Enter your work email
- Sign in with password or Okta SSO
- Complete MFA if prompted
First-Time Setup
Install Office apps:
- Go to office.com
- Click Install Office
- Download and run installer
- Sign in with work account
Set up OneDrive:
- Install OneDrive sync client
- Sign in with work account
- Configure folders to sync
Configure Outlook:
- Open Outlook app or outlook.office.com
- Sign in with work account
- Set up email signature
- Configure calendar
Install mobile apps:
- Available on iOS and Android
- Office, Outlook, Teams, OneDrive

Creating Documents
- Go to office.com
- Click app icon (Word, Excel, PowerPoint)
- Choose New blank document or template
- Start creating
Desktop Apps:
- Open application from Start menu/Applications
- Click New
- Choose blank or template
Collaboration
Share Documents:
- Click Share button
- Add people by email
- Set permissions (Can edit, Can view)
- Send invitation
Co-authoring:
- Multiple people edit simultaneously
- See others' changes in real-time
- Use comments for feedback
- Track changes in Word
AutoSave and Version History
- AutoSave enabled by default for OneDrive/SharePoint files
- Access version history: File → Info → Version History
- Restore previous versions if needed
Microsoft Teams
Joining Teams
From Invitation:
- Click link in invitation email
- Open in browser or desktop app
- Join the team
Browse Teams:
- Click Teams in left sidebar
- Click Join or create a team
- Browse available teams
- Click Join on desired team
Channels
- Teams contain channels for different topics
- General channel created by default
- Join channels relevant to your work
- Post messages, files, and start conversations
Messaging
Send Message:
- Select channel or chat
- Type message in compose box
- @mention people for notifications
- Click Send or press
Ctrl/Cmd + Enter
Start Chat:
- Click Chat in sidebar
- Click New chat
- Add people
- Send message
Meetings
Join Meeting:
- Click meeting link or find in calendar
- Click Join
- Configure audio/video
- Click Join now
Schedule Meeting:
- Go to Calendar
- Click New meeting
- Add title, attendees, time
- Click Send
OneDrive
File Management
Upload Files:
- Go to onedrive.com
- Click Upload
- Select files or folders
Share Files:
- Right-click file
- Click Share
- Add people or get link
- Set permissions
Sync to Desktop:
- OneDrive folder automatically syncs
- Place files in OneDrive folder to sync
- Access from File Explorer/Finder
Outlook
Email Management
Compose Email:
- Click New message
- Enter recipients
- Add subject and message
- Click Send
Organize with Folders:
- Create folders in left sidebar
- Drag emails to folders
- Use rules to auto-organize
Use Categories:
- Right-click email
- Select Categorize
- Choose or create category
- Filter by category
Calendar
Create Event:
- Go to Calendar view
- Click time slot
- Add event details
- Invite attendees
- Click Save
View Others' Calendars:
- Click Add calendar
- Choose Add from directory
- Search for colleague
- Add their calendar
Common Issues
Can't Sign In
Problem: Login fails or account not recognized.
Solution:
- Verify using correct work email
- Try password reset
- Check Okta SSO is working
- Clear browser cache
- Contact TechOps
Files Not Syncing
Problem: OneDrive files not syncing.
Solution:
- Check OneDrive sync status icon
- Restart OneDrive
- Check internet connection
- Verify storage quota
- Check file size limits
Teams Not Loading
Problem: Teams won't open or stays on loading screen.
Solution:
- Refresh browser or restart app
- Clear Teams cache
- Check office.com/status
- Try web version
- Reinstall app
Office Apps Won't Activate
Problem: Office asks for product key or won't activate.
Solution:
- Ensure signed in with work account
- Go to File → Account
- Click Sign in or Switch account
- Sign in with work email
- Contact TechOps if persistent
